Quick answer

Asanify Travel and Expenses is travel and expense management software inside the Asanify HRMS. Employees raise one travel requisition for flights, hotels and cabs, each request is checked against policies by job level and city tier, and claims are filled from the trip.

How it works

Every work trip in one request, checked and claimed

Everything the employee needs goes into one request. The rest follows from it.

See it run on your own travel policy

A 30-minute walkthrough with your levels, cities and approvers.

Sounds familiar?

Are work trips and travel requisitions still a hassle to plan?

Employee asks"When will I be reimbursed?"

The trip is over and the receipts are in, but nobody can say when the money will come back.

Employee asks"What is the cap on my hotel?"

The nightly limit sits in a policy PDF, and it changes with the city.

Admin asks"Which flight and hotel can this person book?"

Limits depend on level and city, so every request means checking the policy by hand.

Admin asks"Was part of this already paid as an advance?"

Advances, bookings and claims sit in different places, so finance matches them by hand before paying.

Set the limits once. Employees know what they can book, and admins know what they are approving.

Policies

Set policies that cover the whole travel rulebook at one place

Per diem and city tiers

Define city tiers and set daily rates for each job level.

Per diem split into item caps

Cap meals and incidentals separately, so a daily rate cannot be spent on one thing.

Flight and hotel caps

Set what each level can spend on a flight and per night on a stay, city by city.

Mileage by vehicle

Set a rate per km and add a vehicle class, such as car or two-wheeler.

Eligibility

Every request validated against eligibility

Validated per request and requester

Each request is checked against the policy for that traveler, so bookings are done only for what is allowed.

Eligibility you can customize

Different policies can be set as per job level, tenure, employment type and employee role.

Warn or reject, your call

In case the caps are violated, you choose if you want to send a warning or reject the request.

FAQ

Travel and expense questions HR and finance ask

What is travel and expense management software?

Travel and expense management software lets employees request work trips, and lets the company set the rules for what gets booked and reimbursed, such as daily allowances, flight and hotel limits and mileage rates. Requests and claims are checked against those rules before anyone approves them.

The employee raises a travel requisition and adds the flight, hotel and local conveyance, such as cabs to and from the airport, with an estimated cost for each. The trip total updates on its own. They then either ask for a travel advance or route the request to the company’s travel desk, and submit it for approval.

Yes. A request can be routed to your company’s travel desk, which books the flights and hotel on the employee’s behalf, so the employee does not pay first.

Each request is validated against the expense policy for that employee. Admins customise eligibility by job level and city tier, including flight and lodging caps, and a rule can warn the employee and approver or reject the request.

Yes. Group cities into tiers, starting from the 7th CPC X / Y / Z list or a metro / non-metro list, and set per diem rates by job level and tier. A single city can override its tier, and the per diem can be split into item caps such as meals and incidentals.

Yes. Mileage eligibility can be customised by job designation, with a rate per km for each vehicle class such as car or two-wheeler, and odometer readings or a photo when you want proof.

When the employee applies for reimbursement, the expense lines are picked up from the policy and the travel requisition, so they review the claim instead of typing it in again. If an advance was paid, it is reconciled against the claim.

In Asanify HR Helpdesk. The issue is raised in the same system as the trip and the claim, and routed to the right team, such as the travel desk or finance.

Approved expenses and travel advances can be synced into the payroll run, so an advance does not have to be settled by a separate payment.

The request goes to the approvers set up for your other HR requests in Asanify. The approver sees the trip total, any advance asked for and whether the request is within the employee’s policy before approving or rejecting it.
